The Operational Support Professional position is here to organize and coordinate operational duties and office procedures. This role creates and maintains a welcoming work environment, ensuring high levels of operational effectiveness, communication and safety.



The Operational Support Professional is responsible for: making office supplies arrangements, greeting visitors and providing general administrative support to our employees.



Serves as point person for operational support related duties.

Office oversight and Facilitation

  • Coordinate and maintain office equipment and arrange necessary repairs as needed
  • Open, sort and distribute incoming mail and send out mail at the end of each day
  • Maintain office supply inventory
  • Complete errands in the community as needed
  • Ordering supplies and shopping as needed
  • West Bay housekeeping tasks (Garbage, Recycle contact, Clean Fridge, cleaning and putting away dishes, tidying up front office etc.)
  • Open and close of office each work day
  • Keep track of office and meeting room use, updating room reservation calendar as requests are made
  • Coordinate with IT on all office equipment
  • Facilitate office safety drills


  • Assist in the planning and implementation of in-house or outside activities, like parties, celebrations and conferences
  • Answer, screen and transfer inbound phone calls
  • Receive and direct visitors


  • Update hard copy filing system
  • Performs data entry and personnel file maintenance
  • Resolve employee problems and inquiries about personnel file paperwork
  • Maintains confidential personnel files and personnel actions
  • Contacts employees for outstanding documentation and training and collects information via phone, email, and in person. Per the direction of the Employment Coordinator and Staff Development Coordinator
  • Purchasing and updating Trac phones
  • Purchasing and updating vehicle supplies
  • Leadership team supports
  • Responsible for creating and maintaining West Bay how to guide
  • Responsible for creating and maintaining Office Support position how to guide
  • Newsletter (inputting information and distributing to staff)
  • Assists with Human Resource projects
  • Organize and file Direct Support Professional team communication logs
  • Other duties as assigned

  • Be at least 18 years of age

         Have high school diploma/GED

  • Pass a background check
  • Have a current driver's license and vehicle with minimum liability insurance.
  • Hands on experience with office machines
  • Knowledge of operational support procedures and systems such as filing and record keeping
  • Ability to communicate professionally with all employees and community members.
  • Knowledge of principles and practices of basic operational management.
  • Ability to travel for office needs.
  • Works well under pressure with changing priorities
  • Able to work in an environment that has a high amount of activity
  • Welcoming, positive, and helpful attitude
  • Computer skills in Microsoft Office Software, Outlook, Adobe, and various databases.




  • 40 hours per week, overtime eligible position
  • $13.75 per hour 
  • Temporary position to be filled for around 12 weeks
  • Position to be filled as soon as possible 



The Operational Support Professional position is regularly required to sit. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds. The noise level in the work environment is usually quiet but can escalate to moderate noise level.


The Operational Support Professional position must be able to read documents or instruments, perform detailed work, perform problem solving, and related company interaction. They must possess reasoning, math, language, verbal and written communication, and analytical reasoning skills. They must manage, stress, multiple concurrent tasks, and constant interruptions.
